Meet & Greet services are reserved for a specific airport, date, flight window, passenger count, staffing assignment, and service plan. Because these services may require advance coordination with passengers, airlines, drivers, transportation providers, hotels, restaurants, venues, and group leaders, cancellation terms are based on the amount of notice provided and the preparation already committed.

Cancellations made 48 or more hours before the scheduled service time:
Eligible for a refund, less any non-refundable third-party costs, vendor charges, special arrangements, materials, parking, permit fees, or preparation costs already incurred.

Cancellations made 24 to 48 hours before the scheduled service time:
May be subject to a cancellation fee of up to 50% of the Meet & Greet service amount, plus any non-refundable third-party costs already incurred.

Cancellations made less than 24 hours before service, same-day cancellations, or no-shows:
May be charged up to the full service amount. This includes situations where the guest or group does not appear at the confirmed meeting point, fails to provide usable arrival/departure information, changes flights without timely notice, or declines the confirmed service after staff have been assigned or dispatched.

Flight delays:
Normal airline delays for the same confirmed flight are not treated as client cancellations. BTD Tours will make reasonable efforts to adjust the Meet & Greet timing when accurate flight information has been provided in advance. Extended delays may require additional waiting time, staffing time, parking, or coordination fees.

Flight cancellations, missed connections, or major schedule changes:
If the airline cancels or substantially changes the flight, BTD Tours will make reasonable efforts to reschedule the service when notified promptly and when staff availability permits. If staff have already been assigned, dispatched, or held for the service window, cancellation or rescheduling fees may still apply.

Client information and travel documents:
Clients are responsible for providing accurate flight details, passenger names, contact information, luggage notes, group size, meeting-point needs, and any accessibility or special-assistance requirements. Meet & Greet staff cannot override airline, airport, TSA, customs, immigration, security, documentation, or entry requirements. No refund is provided when service cannot be completed because required documents are missing, passenger information is incorrect, or airport/airline authorities restrict access.

If BTD Tours must cancel the Meet & Greet service due to emergency, unsafe operating conditions, airport access restrictions, or other uncontrollable circumstances, the client will receive either a refund for the canceled service portion or the option to reschedule, less any third-party costs that cannot be recovered.
